Ashley Bros Hub · Effective September 9, 2026 · Version 1.0
Ashley Bros Trucking LLC ("Ashley Bros," "we," "us") is a locally owned construction-material hauling company based in the Kansas City metropolitan area. This policy explains how we collect, use, protect, retain, and delete personal information in the Ashley Bros Hub — the internal web application our employees and independent contractors use for onboarding, tickets, payroll, and payments.
Depending on whether you are an employee (W-2) or an independent contractor (1099), we collect:
We use Plaid Inc. ("Plaid") to connect bank accounts securely for direct-deposit payroll and contractor payments. When you link an account, you enter your banking credentials directly with Plaid — Ashley Bros never receives or stores your bank username or password. Plaid provides us with a secure token and masked account details used only to send your pay to the correct account.
Plaid's own privacy policy (available at plaid.com/legal) governs Plaid's handling of your information. You may disconnect a linked account at any time through your portal or by contacting us.
We do not sell your personal information, and we do not share it for advertising.
Every processor we use is required to protect your information.
The Hub enforces role-based access control, so workers can only see their own records and only authorized administrators can see payroll and tax data. Connections are encrypted in transit (TLS 1.2 or higher), stored data is encrypted at rest by our hosting provider, sensitive identifiers are masked, bank connections use secure tokens rather than stored credentials, and administrative actions are recorded in audit logs. Live payment and government filing features remain disabled until all security requirements are verified.
We keep payroll, tax, and employment records for the periods required by federal and state law (generally at least four years for payroll tax records). Account information is retained while you work with Ashley Bros and for the legally required period afterward.
You may request deletion of personal information that we are not legally required to keep by contacting us below. We will confirm what can be deleted, what must be retained by law, and when retention expires.
If we change this policy, we will post the updated version here with a new effective date and, for material changes, notify active workers by email or in the Hub.
Questions, access requests, or deletion requests: contact Mike Ashley, Ashley Bros Trucking LLC, Kansas City, MO, or email ashleybrostruckingllc@gmail.com.
